Starting a photo booth rental business: equipment, prices, payback

A photo booth rental business can be started with initial capital of around €5,500 to €7,000: that is what a rental-ready Photobooth Ready from the manufacturer fexon in Greiz costs with camera, studio flash, printer and transport case (as of October 2026). At typical rental prices of €300 to €800 per event, the equipment is paid off after a good ten bookings. This guide describes what founders need in equipment, what a realistic calculation looks like and what has proven itself in more than ten years of our own rental business under the fexobox brand.

What equipment does a photo booth rental operator need?

The basic equipment for the first event:

  • Photo booth: for rental operators the Photobooth Ready 1.1 has proven itself: aluminium housing, 23-inch touchscreen, i5 mini PC with Windows 11, dslrBooth Professional, 22 kg, set-up by one person in under ten minutes.
  • Camera: Canon EOS 2000D (+€500) or EOS 200D (+€600), both available via the configurator.
  • Light: studio flash with beauty dish (+€350) for evenly lit faces.
  • Printer: DNP DS620 (+€1,590) for 800 prints per media kit; alternatives are in the guide Which photo printer for a photo booth?.
  • Transport: transport case for €1,399 or the padded soft case for €149.
  • Backdrop: telescopic backdrop system (€99) with fabric (from €159) or the professional backdrop wall (€490).
  • Accessories: wireless buzzer (€149), speech bubbles and props.

If you start with a smaller budget, the Photobooth Selphy works as a shipping booth (complete €2,990): it is sent to the customer by parcel, who sets it up themselves; that saves journeys.

How do you calculate the rental price?

Example calculation with assumptions for a Photobooth Ready (€6,879 including case):

Item per eventAmount
Rental price (example, 5 hours, 300 prints)€500
Print media (300 prints at €0.17)−€51
Travel costs (100 km)−€40
Pro-rata depreciation at 25 events a year over 3 years−€92
Contribution margin before tax, staff, insuranceapprox. €317

At 25 bookings a year this gives around €7,900 contribution margin; at 40 bookings around €12,700. In this example the purchase is fully recovered after 17 bookings. The figures are assumptions; your rental price depends on region, scope of service and competition. More in the guide Rent or buy a photo booth.

Which services belong in the offer?

Customers do not book hardware, they book a result. Proven packages include:

  1. Delivery, set-up and dismantling by you or a member of staff.
  2. An individual print layout with names, date or logo, created in the dslrBooth template editor.
  3. Unlimited shots and a defined number of prints.
  4. Online gallery or QR-code sharing for the guests.
  5. Optional: on-site attendance, props box, guest book, green-screen backgrounds.

Extras such as an additional printing hour, branding of the housing or a video message module increase the order value. The software offers video booth, GIF, boomerang and AI background removal without a green screen, see the software page.

Which legal and organisational points need clarifying?

  • Business registration and tax registration; VAT status decides between gross and net calculation.
  • Insurance: public liability for damage at the venue and equipment insurance for transport and theft.
  • Data protection: guests’ photos and e-mail addresses are personal data; a notice on the device and a contract with the organiser are advisable. dslrBooth offers a disclaimer function, see the help centre.
  • Rental contract: rules on cancellation, set-up time, power supply and liability for damage caused by guests.

For the legal set-up, involve a tax adviser and, if required, a lawyer; this article is not a substitute for advice. Requirements differ between countries.

How do founders get their first bookings?

Most enquiries for photo booths come via search engines and recommendations. Your own website with sample photos, prices and an enquiry form, a Google Business Profile with reviews, and partnerships with wedding planners, venues and DJs usually deliver the first jobs. Sample pictures from real events are more convincing than product photos: photograph your booth at the first events with the organiser’s permission.

Which mistakes cost founders time and money?

  • Hardware that is too cheap: wooden or plastic booths show damage after a few transports; powder-coated aluminium lasts, see Aluminium housing vs. wood and plastic.
  • No spare material: always take a second media kit and a spare USB cable.
  • No test runs: check layouts and camera settings in your own room before the event.
  • Underestimated travel times: two events on the same day only with a second booth or a second driver.

How does the business grow?

The second booth is usually a different system for a different target group: the Photobooth Mirror for weddings and galas, the Photobooth Profy with advertising panels for corporate clients, the Natty for design-conscious venues. This allows higher prices and several bookings on the same day. The photo booth comparison shows which booth is suited to what; a summary for rental operators is on the page Photo booths for rental businesses.

What does a typical job look like?

A rental job for a wedding starts two weeks beforehand with the layout: the couple’s names, date, colours, created in the dslrBooth template editor and e-mailed for approval. On the day, setting up the Photobooth Ready takes under ten minutes: open the case, place the booth on the tripod, attach camera and flash, connect the printer, switch on. Three test photos check focus, flash power and printing. After four to six hours of operation, photos and statistics are backed up, the booth is dismantled and the online gallery is sent to the couple the next day. Each job therefore involves around three hours of working time excluding travel, which has to be built into the rental price.

Which prices are usual?

Rental prices for photo booths in Germany range from €300 to €800 per event depending on region, duration and scope of service; mirror booths and attended packages reach the upper end. Founders sensibly orient themselves on the regional mid-range and justify the price with print quality, layout and service rather than with discounts. An aluminium photo booth with DSLR and studio flash provides the arguments that can be shown on sample pictures.

Conclusion

A photo booth rental business does not need a large investment, but it does need a sound calculation and reliable equipment. With a rental-ready Photobooth Ready for around €5,500 and a realistic 20 to 30 bookings a year, the purchase is earned back in the first year.
